This policy explains what personal data Ruby Vice League (“we”, “the League”) processes when you use the website at rubyviceleague.com and the League's Discord bot, why we do it, and what your rights are. The short version: we only keep what is needed to run a ranked ladder, we do not sell anything, we do not run ads and we do not use tracking or analytics tools.
The controller under Art. 4 (7) GDPR is …, …, …, …. E-mail: …. See also the Impressum.
When you open a page, our hosting provider's server receives your IP address, the date and time, the requested address and technical details such as your browser. This is needed to deliver the page and to keep the service secure and free of abuse. Server logs are kept by the hosting provider for a short time only. Legal basis: Art. 6 (1) (f) GDPR (running and securing the website).
The website's fonts are loaded from our own server, not from Google or any other third party. We do not use analytics, advertising or social-media tracking.
Logging in uses Discord's official OAuth sign-in. We ask for two permissions: identify (your Discord user ID, username, display name and avatar) and guilds.join (so that, if you are not on our Discord server yet, you are added to it automatically and receive the Verified role). We never see your Discord password, e-mail address or your other servers. After login we set one strictly necessary cookie, rvl_session, which keeps you signed in for up to 30 days and is deleted when you log out. Legal basis: Art. 6 (1) (b) GDPR (providing the League you signed up for).
To run ranked play we store: your Discord ID, your platform (PS5 or Xbox) and in-game name (PSN ID, Gamertag or Rockstar name), your RP, wins, losses, kills and deaths, your queue entries, your match history with RP changes, your team and clan membership and invites, clan war results, the clan challenges your clan sends or receives (clans, format, agreed time and the short message you write; agreed matches and results are shown publicly on clan pages), your tournament entries, check-ins and results (including the results you report), the prize payout status for tournament prizes you win (amount, paid or not; payment details are never stored in the bot), the season and tournament trophies you earn, and any clips you submit. Your Discord display name and avatar are shown on public player and leaderboard pages. Your platform name is not shown on public pages; it is shared with the players in your match (so you can find each other in the game) and with staff. Legal basis: Art. 6 (1) (b) GDPR.
In a match we process the votes and kills/deaths you enter, the match-room chat messages you send (on the website or in the match's Discord channel) and the screenshots you upload as proof. They are used to decide the result, handle disputes and prevent cheating. Legal basis: Art. 6 (1) (b) and (f) GDPR (fair play and dispute handling).
If you report a player or are reported, we store the report, the evidence and staff decisions. If staff restrict your access to the queue, we store the restriction, its reason and its duration; it is visible to you and to staff. Legal basis: Art. 6 (1) (f) GDPR (keeping the League fair and safe).
When a match is found for you, the League's bot can send you a Discord direct message; you can switch this off at any time with the /alerts command. If you choose to turn on browser notifications on the website, your browser shows a notification when a match is found; you can revoke that in your browser settings. The permission is managed by your browser, not by us. Legal basis: Art. 6 (1) (b) GDPR for the match alert and Art. 6 (1) (a) GDPR (your consent) for browser notifications.
If you switch on push alerts in the website's settings, your browser creates a subscription for this website: an address at your browser's push service and two encryption keys. We store these together with your Discord ID so we can send you notifications (for example when a match is found, a tournament match is ready or a clan match is about to start), also when the website is closed. The notifications travel through the push service of your browser's maker (for example Google, Mozilla, Apple or Microsoft), which receives the encrypted message and your subscription address. You can switch push alerts off at any time in the same settings; the subscription is then deleted from our database. Subscriptions that your browser reports as invalid are deleted automatically. A subscription belongs to one browser on one device; you can have up to five. Legal basis: Art. 6 (1) (a) GDPR (your consent), which you can withdraw at any time with effect for the future.
The website saves a few settings in your browser's local storage so they survive a reload: light/dark mode, language, sound settings, and markers such as which invites you have already seen. These stay on your device and are never sent to us. Legal basis: § 25 (2) No. 2 TDDDG (needed to provide a function you asked for) and Art. 6 (1) (f) GDPR.
To protect your ranking from data loss, the database is backed up automatically. Backups are stored on the server and in a private, staff-only channel of our Discord server. Only a limited number of copies are kept and old ones are deleted on a rolling basis, so data that was deleted from the League disappears from backups within about two weeks. Legal basis: Art. 6 (1) (f) GDPR.
Discord and Railway are based in the USA. Where data leaves the EU/EEA, the transfer relies on safeguards such as the EU standard contractual clauses or the EU–US Data Privacy Framework, as offered by these providers. Clips you post may link to third-party sites (YouTube, Twitch, Medal and others); those sites have their own privacy policies and are only contacted if you open the link.
Your profile and match history are kept while you take part in the League, because rankings and season archives depend on them. Season archives are permanent records of final standings. If you ask us to delete your data (see below), we delete your profile and personal details; match results involving other players may be kept in anonymised form so that their records stay correct. Match chat and votes stay with the match record so that disputes can be reviewed later, and you can ask us to remove them. Proof screenshots are posted in the match's Discord channel, where Discord stores them. Server logs are deleted by our host after a short period.
You have the right to access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). Where processing is based on consent you can withdraw it at any time with effect for the future (Art. 7 (3)). To use these rights, e-mail us or open a ticket on the Discord server. We will answer within one month.
You also have the right to complain to a data protection supervisory authority, for example the one where you live or the one responsible for us.
Matchmaking and the RP calculation are done automatically from match results. They do not have legal effects on you, and staff can review and correct results on request. We do not use profiling for advertising or any decision with legal effect (Art. 22 GDPR).
The League is not aimed at children. You need a Discord account, so you must meet Discord's minimum age. If you are not yet old enough to agree to this on your own under the law where you live, ask a parent or guardian first.
If we change how we process data, we update this page and its date. Material changes are announced in the Discord server.
